Sell the badge.
Fill every room.
Prove it to exhibitors.

Pixl runs registration on your own site, tracks capacity across every panel and room with Pixl Pass, and turns booth conversations into qualified leads with Pixl Leads. One record from the first badge sold to the last exhibitor report.

[ The reality ]

A convention is twenty events running at once

Registration spikes on announce. Then it is panels in eight rooms across three days, a floor plan nobody can read on a phone, badge queues at the door, and exhibitors who leave with a bowl of business cards and no idea whether the booth paid for itself. Pixl closes every one of those gaps.

Today

  • Schedule maintained in a spreadsheet, published as a PDF
  • Panel rooms overflowing while the room next door sits half empty
  • Exhibitors scanning badges into a system nobody reads after
  • Attendee data locked inside the registration vendor

With Pixl

  • Live registration feed: tiers, add-ons and sold-out states self-update
  • Pixl Pass holds every room to capacity, session by session
  • Pixl Leads turns booth conversations into qualified, searchable leads
  • One attendee record you own, from announce to the post-show report

[ The convention stack ]

Six tools for a show with a hundred moving parts

Take the whole stack or plug one piece into the site you already run. Every module reads and writes to the same show record.

Pixl Pass

Twenty panels, eight rooms,
one capacity you can trust

Every session on your programme gets its own capacity, its own room and its own door. Attendees reserve a seat from the schedule on your site, staff scan them in on a phone at the door, and organisers watch every room fill in real time instead of finding out after the fire marshal does.

  • Per-session capacity set room by room and day by day, with automatic waitlists the moment a panel hits its number.
  • Door scanning on any phone, validating offline when the hall network gives out and reconciling the moment it returns.
  • Reserved versus turned up, so you learn which panels no-show and can overbook next year on evidence.
  • Move a panel to a bigger room mid-show and every reservation, badge and schedule page follows it instantly.
  • Tiered access so VIP, press, exhibitor and day-pass holders only see the sessions their badge actually opens.

[ Pixl Leads ]

Your exhibitors talk all day. Now it counts.

The single hardest thing to prove about a convention is exhibitor value. Pixl Leads turns every booth conversation into a structured, searchable lead your vendors can act on before they land back at the office.

Booth staff talk.
The phone does the paperwork.

A vendor opens Pixl Leads on their phone, taps record and has the conversation they were going to have anyway. The transcript is captured on device, an AI pulls out the products, budgets, timelines, objections and buying signals that were actually said, and the lead lands in their CRM tagged and ranked before the next visitor reaches the booth. No forms, no shorthand on the back of a card, no memory test on the flight home.

01TalkTap once and speak. Works in a loud hall and keeps recording if the network drops.
02TranscribeThe conversation becomes text, tied to the badge scan and the booth it happened at.
03ExtractAI surfaces the hot keywords, scores the lead and syncs it into the vendor's CRM.

“We're running about fourteen thousand attendees a year across two shows, and the panel scheduling is all spreadsheets right now. Budget's already approved for Q3, we just need something live before the September show. Honestly the deciding factor is whether exhibitors get their lead data same day.”

[ Wayfinding ]

Your floor plan, rendered in 3D

We build your hall as an interactive 3D render that lives on your website, not as a flat PDF nobody can read on a phone in a crowd. Attendees find booth 412 and Room 3B without asking, and exhibitors can see exactly which square metre they are buying.

  • Every booth searchable by number, exhibitor name or product category, straight from the schedule page.
  • Panel rooms linked to Pixl Pass, so a room on the map shows what is on now and whether seats remain.
  • Booth sales become visual: sold, held and available stands shown live while you are selling the floor.
  • Accessible routes, quiet rooms and first aid as their own layer, easy to find before anyone needs them.

[ Two days that matter ]

Registration day
and doors day

The two moments your website carries the whole operation: the hour badges go on sale, and the morning four thousand people arrive at once. Both are engineering problems, and we build for both.

Built for the spike,
light enough for the hall

Badge sales arrive all at once and never politely, especially when a headline guest is announced. Pixl sites are statically delivered from the edge with the registration feed hydrating on top, so the page itself never queues. On show day the same pages are stripped light enough to open on convention centre wifi, where a heavy site is simply a site nobody sees.

Edge deliveredPages served from the node closest to the attendee, not from one origin under announce-day load.
Offline door scanningPixl Pass validates badges at the room door with no signal and reconciles when the hall network returns.
Feed, not fetch-stormInventory reads through a cached live feed instead of hammering your registration platform.
One CTA, alwaysRegister action stays in reach at every scroll depth, on every device, on both days.

[ Dynamic FAQ ]

Ask it like an attendee would

This is the same pattern we ship on convention sites: attendees and exhibitors type the question in their own words and the answer surfaces instantly, so it never becomes a support email.

Try the search

Type a word like panels, capacity, exhibitors, leads or badges and watch the list narrow. On your own site this runs against your show data and hands anything it cannot answer to a human.

Talk to us

Support deflection figures for your show depend on your question mix. [ benchmarks to be confirmed ]

How many panels and rooms can Pixl Pass handle?
There is no practical ceiling. Twenty panels across eight rooms over three days is a normal week for the system, and it works the same way at two hundred sessions. Each session carries its own room, capacity, access tier and door, and the schedule your attendees see is generated from that same record.
What happens when a panel hits capacity?
Reservations close automatically and a waitlist opens. If someone releases a seat, the next person in line is notified. Your team can also raise the cap, move the session to a larger room, or add a repeat slot, and every reservation, badge and schedule page updates with it.
Does door scanning work if the hall wifi collapses?
Yes. Pixl Pass validates badges on device against a cached list, so scanning continues with no signal at all and reconciles the moment connectivity returns. Convention centre networks are the reason this was built that way.
How does Pixl Leads actually capture a conversation?
A booth staffer opens Pixl Leads on their phone and taps record while they talk. The audio is transcribed, then an AI pulls out the meaningful signals: products discussed, budget, timeline, company size, objections and next steps. The lead is scored, tagged and pushed into the exhibitor's CRM. Recording consent wording and retention rules are configured per show. [ consent policy to be confirmed with your legal team ]
Do exhibitors need to download an app?
No. Pixl Leads runs in the browser on any modern phone, so a vendor can be capturing leads within about a minute of opening the link you send them with their booth confirmation. [ device support matrix to be confirmed ]
Can you integrate with the registration platform we already use?
In most cases yes. We connect to your platform's feed so tiers, add-ons, availability and sold-out states render live on your own site, with checkout handed over at the last possible step. If you would rather sell natively, Pixl Pass can carry the whole transaction and the badge instead. [ supported integrations list to be confirmed ]
What do you need from us to build the 3D floor plan?
Your hall plan in whatever form it exists, an approximate scale, and the zones you want pinned: booth aisles, theatres, panel rooms, registration, catering, accessible routes and first aid. We model it, you approve it, and it becomes an interactive layer on the site you can update year to year.
What reporting do exhibitors get after the show?
Each vendor gets their own lead export with transcripts, extracted keywords and scores, plus booth traffic from badge scans. You get the aggregate: which halls drew dwell time, which categories converted, and a renewal conversation backed by numbers instead of goodwill.
Do we own the attendee data?
Yes. Registrations, session reservations, scans and sign-ups sit in an audience record you own and can export or sync into the CRM and email platform you already run, at any time.
We only run once a year. Does that still work?
That is exactly the pattern the stack is built for: a quiet site for ten months, an enormous spike around announce and show week, and a year-on-year record that survives committee and staff turnover. Pricing follows the modules you run rather than a permanent enterprise seat count. [ convention pricing to be confirmed ]
No match in this list yet. On a live convention site the assistant would take it from here and, if it still cannot answer, pass it to your team with the attendee's context attached. Ask us directly →
